Hold Information

  • Faculty Rule 3335-9-16 provides that an administrative hold will be placed on a student's record if that student has failed to comply with an obligation imposed by the University or has an overdue debt or fine. Students with administrative holds will be denied certain services, including, but not limited to, registration, receipt of grades, transcripts or diplomas." Students with such holds who attempt to graduate will not be processed or receive their diplomas until their hold is cleared.

If you have been informed that you have a hold on your record, you should contact the University office which has initiated that hold. The office which initiated the hold will inform you as to the nature of the hold and the specific procedures you will need to follow to obtain a clearance of the hold. You may not be able to complete the registration/fee payment process until you have cleared the hold.

The hold will be removed after you have satisfied the requirements outlined by the department that initiated the hold. It is important that you complete this process, leaving sufficient time for the hold clearance to be processed, to avoid delays in receiving your schedule. Should you have further questions, contact the appropriate office listed below.

To view any negative indicator holds on your account, sign into your ‘Student Center’ in SIS. The ‘Holds’ section on the right hand side of your ‘Student Center’ in SIS will display information regarding any holds that you may have. Clicking on the information will provide you with the information for the nature of the hold and the department to contact to help you resolve it. Please contact the department to discuss what steps you need to take to resolve the hold on your account.

GA/Fellows Insurance Payroll Deduction FAQs

Effective Summer Quarter 2009, eligible graduate students will have the balance of their insurance premiums transferred to a Payment Plan in SIS. The Payment Plan will then be paid through monthly payroll deductions.

Am I eligible for the payroll deduction?

Please review the Benefit Overview Book for Graduate Associates at: http://hr.osu.edu/benefits/studentbenefits.htm

Why isn't my insurance paid?

If you are a graduate student expecting to have your insurance premium paid through payroll deduction, a fee authorization must first be present on your Statement of Account. Consult your department’s Human Resources Professional (HRP) to determine if your appointment has been entered correctly in the Human Resources system. You should also review the Graduate School Handbook at http://www.gradsch.ohio-state.edu to verify if you meet the enrollment requirements of your appointment.

Where is my OSU Insurance Contribution?

Effective Summer Quarter 2009, if eligible, your OSU Insurance Contribution will appear as a Health Insurance Fee Authorization. The balance of your insurance premium will be transferred to a Payment Plan. The Payment Plan will then be paid through your monthly payroll deductions. You may verify your eligibility at: http://hr.osu.edu/benefits/studentbenefits.htm

Should I pay my insurance to avoid late fees?

Late fees are not assessed on unpaid insurance premiums. We recommend you monitor your student account online to verify your insurance premium is transferred to a Payment Plan for payroll deduction. If this does not occur, consult your department’s Human Resources Professional (HRP) to determine if your appointment has been entered correctly in the Human Resources system. You should also review the Graduate School Handbook at http://www.gradsch.ohio-state.edu to verify if you meet the enrollment requirements of your appointment.

I'm using my 4th quarter Fee Payment Authorization (FPA) benefit but my OSU contribution for Student Health Insurance is not on my account.

Graduate students using their GA 4th Quarter benefit are not eligible for the insurance subsidy. http://hr.osu.edu/benefits/studentbenefits.htm

Why isn’t my Health Insurance Fee Authorization (formerly OSU Insurance Contribution) on my fee account?

First, consult with your department’s Human Resources Professional (HRP) to verify if your appointment has been entered into the Human Resources system correctly. 25% GA appointees are not eligible for the OSU insurance subsidy. The Bursar’s Office will attempt to collect the entire insurance premium through payroll deduction if your stipend is sufficient. http://hr.osu.edu/benefits/studentbenefits.htm

Why is the Payment Plan for the balance of my insurance not on my fee account?

The balance of your insurance premium will not be transferred to a Payment Plan until the first week of classes, even though the Health Insurance Fee Authorization may appear sooner.

Can I still have my insurance paid through payroll deduction if my GA appointment is entered late?

The Bursar’s Office will attempt to transfer your insurance premium to a Payment Plan provided there is at least one remaining Payroll Period left for your term of enrollment. We recommend you monitor your student account early and often to avoid this.

Refunds FAQ's

Why does my account still show I have a balance due, I'm expecting my aid to pay all of my tuition and fees and to get a refund?

If your aid does not appear on your statement of account, check your Financial Aid status by clicking on ‘View Financial Aid’ link located in the Finances section of your Student Center page in SIS http://buckeyelink.osu.edu/. Check your To Do List located on the right hand side of the page to make sure you have completed all steps necessary for your aid to post to your fee account. Please note: some aid requires a minimum of half time enrollment for aid to apply and some requires full time enrollment. Click here for more information: http://www.sfa.osu.edu/.

Can I have my refund now?

Refunds from excess Financial Aid are available via direct deposit no sooner than 5-7 days before the start of classes each quarter. Students are no longer able to obtain a refund in person. Why wait-sign up for direct deposit today? Please go to http://buckeyelink.osu.edu/ to log into your Student Center page. In the Finance section of your Student Center page, click on the Account Refund link to sign up for direct deposit. You will be redirected to Sallie Mae Business Solutions site to enter your account information where you want your refund to be deposited.

How do I obtain my refund?

The best way to obtain your refund is to sign up for direct deposit. Students not using direct deposit will have their refund mailed to their local address.

Why do I owe the University back for my refund?

If your financial aid has been adjusted, you may owe back for refunds issued based on the original aid amounts disbursed. Adjustments to financial aid can be the result of a change in hours, failure to meet satisfactory academic progress requirements (SAP), or because of change in a student's eligibility for certain types of aid. Please see http://www.sfa.osu.edu/ for further details.

I dropped the number of credit hours I'm taking, do I have a refund?

If you have paid for full time enrollment and drop below 12 credit hours, you may be eligible for a refund. Eligibility for a refund depends upon how tuition and fees were paid (if tuition and fees were paid by the student or if they were paid by Financial Aid), and the date of the drop in hours. If tuition and fees were paid by Financial Aid, please contact that office at (614) 292-0300.

Why does the date I dropped hours/withdrew affect my refund?

Students who drop hours (below full time) or withdraw after the first Friday of the quarter will be charged a percentage of the tuition for the number of hours dropped. For the quarterly refund periods please click http://www.ureg.ohio-state.edu/ourweb/more/ For information about how dropping hours affects Financial Aid, please contact that office at (614) 292-0300.

Will my refund be mailed?

Students not using direct deposit will have their credit balances mailed to their local address. Students should be sure to keep their address information up to date.

Tuition and Fee Payment FAQs

When are fees due?

Fees are due on the first day of classes unless otherwise noted on the Statement of Account.

Are statements of account mailed?

Statements of Account are paperless; the Office of the University Bursar does not mail statements of account.

How do I obtain a statement of account?

To obtain a Statement of Account, sign into your ‘Student Center’ in SIS http://buckeyelink.osu.edu/. Click on Account Inquiry located in the Finances section of your Student Center page. On the ‘Activity’ tab, you will find outstanding charges that are due on your account. To print a Statement of Account, click the ‘Print Statement of Account for All Terms’ button.

How much are fees?

To obtain the fee schedules, click here: http://www.ureg.ohio-state.edu/ourweb/more/

Can I pay with a credit/debit card?

The Office of the University Bursar (OUB) does not accept credit or debit cards for fee payment; we will however, accept a courtesy check from a credit card company.

How do I pay my tuition and fees?

Tuition and Fees may be paid from a checking or savings account online by signing into your Student Center at http://buckeyelink.osu.edu/. In the Finances section of your Student Center page, click on ‘make a payment’ to make a payment online.
Or you can make a payment by mail, by logging into your Student Center at http://buckeyelink.osu.edu/. In the Finances section of your Student Center page, click on ‘mail a payment’ to print off a payment coupon to send with your payment. Mail the payment coupon and your payment to:
Office of the University Bursar
The Ohio State University
Dept 0997
Columbus OH 43271-0997

Can I mail payment for more than one student in the same envelope?

No. A separate payment for each student must be mailed in a separate envelope. DO NOT mail one check for multiple students or include multiple checks for multiple students in the same envelope. The payments are not processed manually here at the University; they are processed for us by our payment-processing center at our bank. The problems that can result from not mailing separate payments in separate envelopes for more than one student are most certainly not worth saving the cost of the stamp.

Do you have a payment plan?

The Tuition Option Payment Plan (TOPP) is the University's payment plan. For more information about the TOPP program, click here: http://www.treasurer.ohio-state.edu/bursar/bursar.html and then click the student center link.

What happens if I can't pay my fees by the deadline?

Fees that are not paid by the deadline will be subject to University late fees; housing may assess separate late fees. The first day tuition is paid late, the late fee will be assessed at $100. If fees are not paid by the 2nd Friday of the quarter, the late fee will be increased to $300.

What address do I mail my payment to?

If mailing a personal check, money order, or cashier check, payment should be mailed to: Office of the University Bursar
The Ohio State University
Dept 0997
Columbus OH 43271-0997

What will happen if I stop payment on the check I submitted for payment?

The Office of the University Bursar (OUB) rarely recommends issuing a stop payment on a check that has been sent to the University. Because payments are not processed manually, they are processed for us by our bank, there is no way to prevent a check that has been stopped from being processed. If a stop payment is issued on a check sent to the University the result will be a returned check charge in the amount of 30.00 for each payment that is stopped.

Alternative Loan FAQ’s

How do I find the status of my alternative loan?

We recommend you contact your lender first. Their service representative should be able to tell you the status of your loan application, if funds have been sent and how – electronically or via paper check.

My lender has not heard back from OSU yet. What happens next?

This usually means OSU is in the process of “certifying” your loan. The loan amount you requested cannot exceed the cost of attendance for your degree program. The Office of Student Financial Aid is the area responsible for certifying the loan amount. For more information, click on the following link: http://sfa.osu.edu/Loans/

How many credit hours do I have to take to be eligible for an alternative loan?

Most lenders follow Federal Direct Loan regulations in requiring half-time enrollment, 6 credit hours (undergraduate) or 5 credit hours (graduate student).

I am taking a co-op class this quarter so I don’t have any credit hours. Will I be eligible for my loan disbursement?

No. You must be taking at least 6 credit hours (undergraduate) or 5 credit hours (graduate student) to be eligible to receive your alternative loan.

How will I know when you’ve received my loan disbursement?

Before contacting our customer service areas, you may want to contact your lender to see if they have released the funds. If so, we recommend you begin monitoring your Statement of Account online on a regular basis. Most loan funds are sent via Electronic Funds Transfer (EFT). If you meet the enrollment requirements, funds will be disbursed to your fee account. If your lender sends a paper check and it requires your signature, we will post an online message. We encourage you to monitor your OSU e-mail account as well.

If my alternative loan is not posted to my account by my due date, will I get a late fee?

Yes, if your loan funds cannot disburse by your fee payment deadline due to insufficient course enrollment or lack of your signature in the case of a paper check, you will be assessed a late payment penalty fee. Please monitor your online fee account and your OSU email account for important messages to avoid this action.

When can I have my refund for excess external scholarship monies?

Refunds from excess alternative loan funds are handled the same way as all excess aid. For information on Direct Deposit, please click on the following link:http://www.financialservices.ohio-state.edu

I have withdrawn from OSU and my alternative loan has posted to my account. What will happen to the funds?

The Office of the University Bursar reserves the right to return alternative loan funds at the request Office of Student Financial Aid or at the request of your lender.

I am no longer planning to attend OSU. What should I do about my alternative loan?

Contact your lender and the Office of Student Financial Aid as soon as you know you will not be attending. Your lender may be able to stop the current and future scheduled EFT disbursements. If we receive a paper loan check, we will return it to your lender.

I am attending classes at a regional campus. How do I get my loan?

Loan funds sent via Electronic Funds Transfer (EFT) will be disbursed to your student fee account provided you meet enrollment requirements. Loan funds sent via paper check will be sent to your Regional business office if your signature is required. We recommend you monitor your student account online for posted messages. If you choose a lender who sends funds via check, please allow extra time for processing so the funds can be processed by your fee payment deadline.

External Scholarship FAQ's

Where do I mail my external scholarship check?

Mail your scholarships checks to the following address even if you are attending classes at a Regional Campus. If the check is made payable only to you, remember to sign the check and write “pay to the order of OSU” before mailing. If the check is made co-payable to you and The Ohio State University, sign your name. Please include your student ID# or your name.#. Office of the University Bursar
The Ohio State University
250 Lincoln Tower
1800 Cannon Drive
Columbus, OH 43210

I sent my scholarship check to the wrong address. Should I contact the donor to stop payment?

No. Most payments reach our office eventually although processing may be delayed by 5 to 10 business days beyond the standard turnaround time. Stopping payment will result in return check charges on the student fee account. Always contact the Bursar’s Office before considering this action.

How can I tell if you received my external scholarship check?

Your external scholarship will appear as a credit on your online Statement of Account.

How long does it take for my external scholarship to appear on my account?

Generally, it takes 5 to 10 business days to process external aid after it is received by our office. Processing time will increase during peak fee collection periods and when payments are not mailed to the correct address. We recommend your scholarship sponsors send payment several weeks before the fee payment deadline. For more information, please click on the following link:http://sfa.osu.edu/Forms/Award/External.pdf

What do I do if my scholarship doesn’t appear on my Statement of Account?

Contact your scholarship sponsor to determine when and where they mailed the payment. If mailed to an address other than Room 250 Lincoln Tower, there will be a delay in processing. Next, verify you are meeting all criteria for your award. Finally, monitor your account online. If your scholarship does not appear even after expected delays, contact the Bursar’s Office for additional instruction. For more information, click on the following link:http://sfa.osu.edu/Forms/Award/External.pdf

College Savings Payment (529) FAQ's

I am withdrawing funds from Ohio Tuition Trust Authority and need OSU’s address and bank routing number.

Due to the large number of College Advantage participants attending The Ohio State University, the Ohio Tuition Trust Authority (OTTA) has our address and bank routing information on file. Funds will be sent electronically. Do not send your withdrawal application to us for completion but rather the servicer listed on the application.

I’m attending a regional campus. Where should Ohio Tuition Trust Authority send the funds?

Regardless of the campus you attend, OTTA sends funds electronically to the Columbus campus. The Bursar’s Office will apply the OTTA credit to your student account.

I’ve received withdrawal confirmation from Ohio Tuition Trust Authority. The money is not on my account. Where is it?

College Advantage funds through OTTA are sent electronically. OSU must verify receipt of this transmission before the Bursar’s Office can credit your student account. If the credit does not appear on your account after 5 to 10 business days, contact the Bursar’s Office. Then, monitor your fee account online over the next few days.

I decided not to attend Ohio State. What should I do about my College Advantage funds through Ohio Tuition Trust Authority?

College Advantage funds remain on your fee account and apply to any outstanding charges first. Then, any excess funds will be refunded to you. The Bursar’s Office does not return funds to Ohio Tuition Trust Authority for reinvestment. For information on our refund process go to: http://www.financialservices.ohio-state.edu/

OTTA pays for my fees. Why did I get a late fee?

Where should I send my 529 savings payment?

Please provide your College Savings account administrator with the following mailing address:Office of the University Bursar
The Ohio State University
250 Lincoln Tower
1800 Cannon Drive
Columbus, OH 43210

How long does it take for my 529 College Savings payment to appear on my account?

College Savings payments typically arrive during peak fee collection and can take a minimum of 10 business days after they are received by our office. For this reason we recommend contacting your College Savings account administrator at least a month before the fee payment deadline to begin the withdrawal process. Students should begin monitoring their account online after 10 business days.

Sponsored Students FAQ's

What is a Sponsored Student?

A Sponsored Student is a student that has part or all of their tuition and fees paid for by an outside entity such as the U.S. Army, a foreign embassy, or an employer. Sponsored Programs credits the sponsored student's account and invoices their sponsor beginning the fourth week of the quarter. A sponsor must be willing to pay before the end of the quarter. Employee tuition reimbursement programs are not accepted.

What is an authorization or voucher?

An authorization or voucher is a document from your sponsor stating that they will assume partial or full financial responsibility for your tuition and fees. Some sponsors cap authorizations at a predetermined amount indicated on the document and others cover certain charges regardless of the amount. Sponsored Programs uses this document along with information on file about your sponsor to credit your statement of account and invoice your sponsor.

What do I do with my authorization/voucher from my sponsor?

In order for Sponsored Programs to credit your account, we must have a current valid authorization/voucher on file in our office. You can mail or drop off your authorization or voucher. If an original voucher/authorization is not required to invoice, you may fax it, mail, or Drop Off:
The Ohio State University
Office of the University Bursar
Attn: Sponsored Programs
250 Lincoln Tower
1800 Cannon Drive
Columbus, OH 43210
Fax - 614-292-0545

When will my authorization/voucher show up on my account?

Authorizations for future quarters are processed before the first day of class if they are received at least fifteen (15) business days before the first day of class. Every effort will be made to process authorizations/voucher not received by this deadline by the first day of class but it may take up to an additional five business days after the first day of classes for your authorization/voucher to post to your account.
Authorizations/vouchers for the current quarter received during the current quarter may take up to five (5) business days to process. If you have turned in your authorization and these time periods have passed, please email Sponsored Programs at bursar@osu.edu

Is there a deadline to turn in an authorization/voucher?

Yes, there are two deadlines.

How is my authorization/voucher processed by Sponsored Programs?

Sponsored Programs uses your authorization/voucher to invoice your sponsor. We credit your account for the amount indicated on your authorization/voucher so you receive the benefit of your sponsor's contribution before your sponsor has made any payment to OSU. At the end of the fourth (4th) week of the quarter, we invoice your sponsor for the amount credited to your account. Once your sponsor pays our invoice, we make any necessary adjustments to your account to reflect the actual amount paid by your sponsor. This may result in charges or credits on your account for prior quarters.

Why is there a charge from my sponsor or a "Sponsored Programs Chargeback" on my account?

If your sponsor fails to pay the full amount originally credited to your account, you will be charged for the unpaid balance. The unpaid balance will show up on your account either as a "Sponsored Program Chargeback" or just as a charge with your sponsor's name as the description.

What happens if I register late or add/drop classes?

If you add or drop classes after your authorization has been posted, please notify Sponsored Programs. The authorization/voucher amount posted on your account may need to be increased or decreased. Please notify Sponsored Programs if you register after the initial registration period. We will then post any valid authorization/voucher on file for the current quarter. We are not notified when you register; therefore it is your responsibility to notify our office when you do so.

Am I responsible for late payment fees?

Your authorization must be received or postmarked and your portion of any remaining balance must be paid by the first day of class to avoid any late payment penalty charges. If a late payment fee is placed on your account and these two requirements have been met, please contact Sponsored Programs.

What if my sponsor provides health insurance?

If you have insurance from an outside source such as your sponsor, you can waive out of the University provided health insurance. It is your responsibility to waive out of health insurance coverage; Sponsored Programs cannot waive it for you. Procedures for waiving student health insurance vary depending on if you are a domestic or international student. Please visit http://shi.osu.edu for more information.

What are a Sponsored Student's responsibilities?

It is the Sponsored Student's responsibility to:

1. Monitor your statement of account on a regular basis. Any charges unpaid by the sponsor are the student's responsibility.

2. Know when your authorization has expired and obtain a new one. Sponsored Programs will not contact the student or sponsor when an authorization is no longer valid.

3. Provide your sponsor with additional information such as grades, class schedules, transcripts, and any other non-financial related information requested by the sponsor.

4. Provide Sponsored Programs with a current valid authorization/voucher from your sponsor.

Due to the monthly system processes and calculations,

How does an automatic ACH established for the 1st of the month affect my account?

Paying between the 1st of the month and the 10th of the month presents a special situation for payers. Bills are calculated at the beginning of each month. Often when people switch their payment date from after the 10th to before the 10th, they don't consider the month's payment which might be missed -or- a month may be paid twice. For all payment methods, you can review the Current Account Balance page on the "Student Loans ePay" web site. The site will show the last payment date and amount. You would also see your balance decrease as payments are made. The Current Account Balance page is a tool to track your progress through repayment.

How quickly will my payment be withdrawn from my bank account if I pay with ACH from my (savings or checking) for a one-time transaction or monthly-established payment?

Payments are generally processed within 5 business days.

Can I pay with my debit card?

Is completing the Exit Interview necessary?

Yes. The exit interview is part of a federal mandated requirement for all borrowers who receive government assistance to fund their education. Upon signing the promissory note, you have agreed to this regulation.

I have a hold on my account due to a pending exit, and I need to register for classes. How do I get the hold removed?

You would need to complete the exit interview(s) for your loan(s). Depending on the loan, an exit interview can take anywhere from ten (10) minutes to one (1) hour to complete the interview process. Hold removal can take up to two (2) business days for our system to update your new status. If you need immediate assistance after completion, contact Student Financial Aid (Stafford/Direct Loans) or Student Loan Services (Perkins/Health Professions Loans) to have the hold manually removed.

I am not graduating. Why do I need to perform an exit interview?

At some point your enrollment status either dropped below part-time status(six (6) credit hours for undergrad and five (5) credit hours for graduate students), you were not enrolled the previous quarter, or you were initially scheduled to graduate at the conclusion of the quarter. Our system picks up this information and signals our office an exit interview is needed. This information is then translated to the student through email or postal mail.

I did not go to school this quarter, but I will be returning next quarter. Do I still need to complete an exit interview?

Yes. One of the requirements for federally-funded loans (Perkins/Health Professions, Stafford, Direct Loan) is maintaining a part-time or higher status during the regular school year (Fall - Spring).

I am afraid I will not receive any financial aid if I complete my exit interview?

If you are registered for classes and you have filed a FAFSA for the current year, as long as you are within the criteria to receive funding you will receive the loan again. This will continue to be the process until you decline the funds or are no longer qualified for funding.

For further information, please contact:
Student Financial Aid
(614) 292-0300 or (800) 678-6440.
